QR code labels for storage bins and boxes, printed on sheets

QR bin labels with Labelsheet

This page opens with QR codes on 2 x 2 inch square labels (Avery 22806, 12 per sheet) and a list of box links. A QR on a bin can hold a short ID that you look up later, or a link to a page or spreadsheet row that lists what is inside.

  1. Paste one box ID or link per line, or number a series such as BOX-001.
  2. Add a title line on the Labels tab if you want words on every label, for example Garage or Office archive.
  3. Download the PDF and print it on the square sheet; 2 x 1 inch thermal labels work too.
  4. Stick each label on the short side of the bin so it can be scanned when the bins are stacked.

What to know

A QR code reads from any angle and from a phone camera without an app, which makes it the practical choice for bins on shelves and boxes in a loft. Keep the content short: a box number like BOX-014 makes a small, sparse QR that scans from further away than a long link. If you want the QR to open a list of contents, point it at a short link of a shared spreadsheet or document, and keep that link valid as long as the boxes exist.

The square layout leaves room for the QR and one or two text lines, so people without a phone can still read the box number. On the free plan, the first sheet of any job prints; Pro prints all sheets, adds other table columns as text lines (for example the room the box belongs in) and takes any custom label size. To build a contents list as you pack, scan each box label with Scanlist on this site and add a note.

Questions

Will the QR codes stop working?

A QR that holds a box number never stops working. A QR that holds a link works as long as that link does; there is no redirect service in between.

How small can a QR label be?

A short ID makes a QR with few, large modules, so it still scans when the label is small and the phone is held close. Use a larger label for bins high on a shelf.

Can I print on freezer or outdoor labels?

Yes, if the label stock has the same layout. Use polyester or vinyl labels for damp places.

Can the QR include the box contents?

A QR can hold a few hundred characters of text, but a short ID or link scans more reliably and can be updated later.

The free plan covers everything on this page. Labelsheet Pro ($5/mo, billed monthly) is described on the Labelsheet page.
