Asset tag labels with barcodes, ready to print before an audit

Asset tags with Labelsheet

This page opens with asset tags: a "Property of" line on every label, Code 128, and a sample list of laptops and monitors. Paste your own asset IDs, or number a fresh series such as CVX-0001 to CVX-0300, and print them on sheets for an office audit.

  1. Paste your asset IDs (or the asset table from your spreadsheet), or choose Number a series to create new IDs.
  2. On the Labels tab, change the "Property of" line to your organisation name.
  3. Pick the sheet. On a sheet you have already used, set Start at label to the first empty one.
  4. Download the PDF and print one sheet on plain paper first to check alignment against a label sheet.
  5. Print at 100% or Actual size; Fit to page shrinks the sheet and every label drifts off its position.

What to know

An asset tag needs three things to survive an audit: an ID that never repeats, a barcode that scans from a phone or a handheld scanner, and a line that says who owns the item. Code 128 is the usual symbology because it takes letters, digits and dashes in a compact width, which matters on a 1 inch label. If your asset system was set up years ago and only accepts Code 39, switch the barcode type; the IDs are uppercased for Code 39 automatically.

For a new register, Number a series creates IDs with a fixed prefix and zero padding, so CVX-0001 sorts before CVX-0010 in every spreadsheet. Keep the next free number somewhere safe; a duplicated asset tag is much harder to fix than a skipped one. Paper labels on laptops wear off within a year or two of handling, so for hardware that travels use polyester or vinyl label stock in the same sheet layout.

After printing, scan the tags into a list with Scanlist on this site to record where each asset is, or compare a fresh scan against the expected register to find what is missing. Re-print a damaged tag with the same ID rather than issuing a new one, so the history of the asset stays in one place.

Questions

What size are typical asset tags?

Common sizes are 1 x 2⅝ inch (Avery 5160 layout), ½ x 1¾ inch for small items, and 2 x 1 inch thermal labels. All three are in the list; Pro adds any custom size.

Should asset tags use QR codes or barcodes?

Use Code 128 if staff scan with handheld scanners, QR if they scan with phone cameras. QR also works when a label is a little curved or scratched.

Can I add the item name and room?

On Pro, the other columns of a pasted table are printed as up to three text lines on each label.

How do I avoid duplicate tags?

Number each new batch from the next unused number, and keep the series prefix the same. Duplicates in a pasted list are printed as you pasted them, so check the source list.
