Print barcode labels from an Excel list, without mail merge or barcode fonts

From Excel with Labelsheet

This page opens with a pasted Excel table and Code 128 on Avery 5160 sheets. Copy the cells straight from Excel or Google Sheets, header row included: the barcode column is picked from its name, and the PDF puts every code at the exact position of a label on the sheet.

  1. In Excel or Google Sheets, select the cells with your codes (with the header row if you have one) and copy them.
  2. Paste into the list box. If you pasted several columns, check that Barcode column shows the right one.
  3. Open the Labels tab and pick your sheet: Avery 5160 is preselected; L7160 is the usual A4 equivalent.
  4. Check the preview of sheet 1, then press Download PDF.
  5. Print at 100% or Actual size; Fit to page shrinks the sheet and every label drifts off its position.

What to know

The usual way to do this in Office is a Word mail merge with a barcode font, and it fails in ways that are hard to see on screen. The merged field keeps the default font, so the code prints as plain digits; Code 39 needs an asterisk at each end or scanners ignore it; Code 128 and EAN fonts need start, stop and check characters that a plain cell does not contain. Here a barcode encoder draws every symbol from the raw value, so what you paste is what the scanner reads back.

When you paste a table, a header such as Code, SKU, Asset ID, Serial or Barcode is recognised as the barcode column; otherwise the first column is used and you can switch it. On Pro the other columns, for example the item name and the room, are printed as up to three text lines under the barcode, which replaces the second half of a typical mail merge.

Long numbers survive the trip because nothing is converted to a number: a code with a 0 at the start or a 13-digit EAN is taken as the exact text that was in the cell. If Excel already shows 9.78E+12 in a cell, format the column as Text and re-enter the values before copying, because the digits were rounded inside Excel.

Questions

Do I need to install a barcode font?

No. The barcodes are drawn as vector shapes in the PDF, so nothing has to be installed on the computer or the printer.

Can I open an .xlsx file directly?

Copy and paste the cells, or save the sheet as CSV and open that. Pasting is usually quicker and keeps the header row.

How many labels can I print for free?

The first sheet of any job, up to 3 PDF downloads a day. Pro prints every sheet of a job in one PDF.

Will the codes scan with a phone?

Yes. Linear codes use the full label width with a proper quiet zone; every symbology here is checked by decoding printed test sheets.
