Asset audit with Scanlist
This page opens in Add quantity mode with Location and Condition columns suggested, for checking laptops, monitors and equipment against an asset register. Scan each tag; Code 128, Code 39, QR and Data Matrix asset labels are all read.
- Name the list after the area, for example Floor 3, and set its default location (Pro).
- Scan the asset tag on each item. A tag scanned twice shows quantity 2, which flags a duplicate label.
- Note who the item is assigned to, or set its condition, on the row.
- Export the list and compare it with the register: Pro Compare reads the register CSV and lists missing and extra tags.
What to know
An asset audit checks two things: that every item in the register is where it should be, and that nothing in the building is missing from the register. The scan list answers the first by its codes and the second by what Compare calls extra. Keep asset numbers as text: tags like 000417 lose their zeros in a spreadsheet that treats them as numbers, and then never match the register.
Asset labels are usually Code 128 or QR, sometimes Data Matrix on small devices. Metallic and laminated labels reflect light; angle the phone slightly or switch the light off if the glare is worse with it on. A tag that will not scan can be typed into the box under the scanner and is added like a scan.
Location and Condition are custom columns in Pro, each with a default per list, so walking a floor needs one tap per item and the location fills itself. The optional GPS column records where each scan happened for sites spread over several buildings; it is off by default and asks for permission separately.

Questions
Which asset tag barcodes does it read?
Code 128, Code 39, QR, Data Matrix, ITF, EAN and UPC, and PDF417. Most asset labels are Code 128 or QR.
How do I find assets that are missing?
With Pro, use Compare with expected stock and choose your asset register exported as CSV. Tags in the register but not scanned are listed as missing.
Can I record who has each laptop?
Yes, in the note on each row. Pro adds Location and Condition columns with defaults per list.
Is the asset list uploaded anywhere?
No. The list stays on the device until you export it. Only an export count with a random browser ID is sent, to apply the free limit.
The free plan covers everything on this page. Scanlist Pro ($5/mo, billed monthly) is described on the Scanlist page.
